Maintenance Supervisor

Job Description

General Purpose:

Under the direction of the Manager, oversee the physical maintenance of the community.

Responsible for general upkeep, apartment turnover and preventive maintenance as well as

Capital projects that will enhance property value. Coordinate maintenance staff to provide excellent and professional customer service.


Oversee Physical Maintenance of property

1.      Coordinate with the Community Manager the supervision of the day-to-day maintenance operations, scheduling and performing repairs that include and are not limited to: apartment turnover, plumbing, painting, carpentry, electrical, heating, air conditioning, glass replacement, pool and amenity upkeep.  Ensure 24-hour response policy.

2.      Implement and perform the Preventative Maintenance Program

3.      Responsible under the direction of the Manager to schedule and follow-up to ensure service requests, make readies are completed accurately, meet Orion Residential Management standard, and in a timely manner.

4.      Physically walk and inspect property on a daily basis to determine potential liabilities.  Complete property safety inspections, maintain appropriate records and schedule necessary repairs. Respond immediately to emergency situations.

5.      Assists Community Manager in communications with vendors/contractors to include: bidding and approval of required work; proper completion of service agreements and certificates of insurance; scheduling work and timely completion of same.

6.      Order, purchase, and maintain inventory of maintenance materials, tools, supplies and parts.  Prepare maintenance budget with Community Manager.  Document work order logs accurately in OneSite.   Report all hazards, accidents or emergency situations immediately to Community Manager.

7.      Provide emergency on-call services on a rotating basis with other service staff.


Resident Relations

1.      Maintain a positive and progressive approach to resident retention.

2.      Enhance resident relations with thorough follow-up on all resident service requests and/or issues.


Supervisory Responsibilities

1.       Motivate staff through teamwork, goal setting, and open communication in order to achieve operational goals for the property.

2.       Oversee the timely and accurate completion of all delegated tasks. Provide on-going training and monitor performance of maintenance staff to include the preparation of performance reviews. Set a professional and courteous example in all resident interactions.

3.       Keep accurate records of all on-going maintenance projects to include: preventive maintenance schedules, maintenance inventory, property emergency procedures, property safety inspections, OSHA required documentation and repairs/warranty information. Monitor material and labor costs.

4.       Assist Community Manager in the research and preparation of the annual budget and other requested reports.

5.       Supervise service staff, providing training, motivation, and assistance when necessary.  Maintain appropriate certifications deemed necessary by Orion Residential Management.


Non-Essential Functions:

1.      May be necessary to use personal vehicle to pick up supplies and materials.

2.      Clean common areas.

3.      Other duties as assigned by Community Manager, District Manager or Regional Manager.

Job Specifications:

1.      Must possess the ability to read, comprehend, and follow simple to moderately complicated verbal and/or written instructions to perform tasks assigned and to maintain records.  Must possess basic arithmetical calculation skills (addition, subtraction, multiplication, division, percentages, etc.)  This level of proficiency is normally achieved through completion of a high school education or its equivalent.

2.      Be able to effectively communicate with residents, staff, and other suppliers or vendors to ensure safe operation of property maintenance.

3.      Work with multiple deadlines, maintaining efficiency and control over projects assigned within time frames allowed and changing priorities. 

4.      Must possess a solid knowledge of painting, electrical wiring, plumbing, carpentry, appliance maintenance and repair, hazardous chemical safety, heating, ventilation, air conditioning (HVAC) systems, pool maintenance, and ability to use power machinery properly and safely.  This level of proficiency is generally achieved with approximately two to three years of experience in two or more of the noted areas. May have specialized training and certification in HVAC, plumbing, electrical work, or carpentry.

5.      Work requires the ability to maneuver or move up stairs heavy equipment, appliances, supplies and tools which may weigh up to 100 pounds, and the ability to inspect and repair roofs or roof-top equipment.

6.      Be able to diagnose and repair equipment or appliances, which are not easily seen or reached, i.e., under counters, on ceilings, etc.

7.      Must be able to effectively train and guide other service staff through the course of the work day.  Be able to fairly evaluate service staff performance, providing constructive advice when needed.  Work as a team leader.

            8.       Effectively assess a situation, which may require assistance or specialized equipment, and respond appropriately in serious or                          emergency situations.

f           9.   Must have access to reliable transportation.  Must have an effective communication system available in order to contact property               or staff after hours. 

            10. Must be able to support corporate initiatives and attend corporate sponsored events, which may require some travel.

             11. HVAC Certified.

Working Conditions:

Job environment entails working indoors and outdoors.  Outdoor conditions may be affected by weather conditions ranging from rain or snow to excessive heat.  Regular exposure to hazardous chemicals, paint, cleaners and power machinery.  Work order requests may involve working in occupied or unoccupied units in varying degrees of cleanliness in a multi-level apartment community.  Will be required to be “on call” for emergency repairs/maintenance after normal work hours.
