Job Description

General Purpose:

Providing excellent service to all residents, prospects and visitors to the community. Show available apartments to prospective residents.  Perform necessary paperwork to process new leases.  Perform market survey studies.  Provide general office assistance to management office.



1.      Follow marketing strategies that will increase profitability of property.  Adhere to advertising and marketing programs. 

2.      Keep current on submarket and competition by learning about other properties, pricing and availability.  Inform Community Manager of findings. 

3.      Regularly attend local chamber and apartment association meetings as needed.



1.      Greet prospects and show apartments to prospective residents, including amenities, grounds, and other amenities.  Exhibit effective closing techniques.

2.      Process leasing documents, including new leases, renewals, and notices to vacate.  Set up and maintain leasing files according to policy. 

3.      Follow up with prospective residents both by mail, e-mail and telephone. Ensure that prospect follow-up is completed in a timely manner.

4.      Coordinate proper placement of mini models and show units and participate in their upkeep and modernization as directed by Community Manager.


Resident Relations

1.      Assist Community Manager with tracking retention and reasons for move-out. Enhance resident relations through resident functions and thorough follow-up on all resident issues.

2.      Assist Community Manager with timely response and resolution of resident concerns and or issues.



1.      Ensure on-site office is organized and all lease/administrative files are maintained as required. Review move-in and renewal paperwork for accuracy and acceptability.

2.      Prepare and review Market Survey as requested. 

3.      Prepare various weekly, monthly, quarterly and/or annual reports as directed by Orion Residential Management.  

4.      Computer input including: entering daily information, resident activities.  Ensure integrity and accuracy of OneSite data.


Non-Essential Functions:

1.      Pick up garbage found on property grounds.

2.      Open and freshen vacant apartments and models, and tour route prior to viewing with prospective residents.

3.      Other duties as assigned by Leasing Manager, Assistant Community Manager or Community Manager.




Job Specifications:

1.      Must possess the ability to read, comprehend, and follow simple to moderately complicated verbal and/or written instructions to perform tasks assigned and to maintain records.  Must possess basic arithmetical calculation skills (addition, subtraction, multiplication, division, percentages, etc.)  This level of proficiency is normally achieved through completion of a high school education or its equivalent.

2.      Be able to effectively communicate with residents, staff, and other suppliers or vendors to ensure efficient operation of office activities.

3.      Work with multiple deadlines, maintaining efficiency and control over projects assigned within time frames allowed and changing priorities. 

4.      Possess a basic knowledge of sales/marketing techniques and bookkeeping/accounting theory and procedures.  Have familiarity with personal computer accounting software applications.  This knowledge may be acquired through sales/marketing/accounting courses in high school or college, or three to six months’ on-the-job training.  Must be able to work with various kinds of people, maintaining a professional, positive tone.

5.      Possess a basic knowledge of lease agreements and terminology.  Understand basic landlord/tenant laws and fair housing regulations.  This could be learned with three to six months’ on-the-job training.


Working Conditions:

Typical working environment is in an office setting on a multi-unit residential property, working with a personal computer at a desk and a telephone.  Will also involve greeting and taking prospective residents to vacant apartments in a multi-level apartment community.  When showing apartments, may be subject to outdoor weather conditions ranging from rain or snow to excessive heat during the seasonal months.
