Assistant Community Manager

Job Description

General Purpose:

Provide accounting, leasing and administrative assistance for assigned property.  Assist Community Manager with other duties, including showing apartments to prospective residents, and general office duties.  Act as Community Manager when directed and needed.


Marketing, Leasing and Resident Relations

1.      Follow marketing strategies to increase profitability of property.  Support advertising and marketing programs. 

2.      Assist and act as leasing consultant and show vacant apartments. 

3.      Assist Community Manager with tracking retention and reasons for move-out. Enhance resident relations through resident functions and thorough follow-up on all resident issues.

4.      Assist Community Manger with timely response and resolution of resident concerns and or issues.


Accounting and Performance Reporting

1.      Assist Community Manager with the property's day-to-day accounting and financial operations including:   collecting, posting and depositing rents; pursuing delinquent accounts in a timely manner in accordance to lease agreement; processing invoices.

2.       Ensure on-site office is organized and all lease/administrative files are maintained as required. Review move-in and renewal paperwork for accuracy and acceptability.

3.      Prepare various weekly, monthly, quarterly and/or annual reports as directed by Orion Residential Management.  Reports may include income and expense reports, variance reports, occupancy reports, etc. 

4.      Assist Community Manager with all computer input including: entering daily information, final account statements, pre-bill, resident activities.  Ensure integrity and accuracy of OneSite data.


General Duties

1.      Accompany Maintenance team member to conduct final move out inspection.

2.      Assist Community Manager in scheduling on-site maintenance and follow-up to ensure that service requests, make readies are completed accurately, professionally and timely.


Non-Essential Functions:

1.      Pick up garbage found on property grounds.

2.      Open and freshen vacant apartments and models and tour route prior to viewing with prospective residents.

3.      Other duties as assigned by Community Manager.


Job Specifications:

1.      Must possess the ability to read, comprehend, and follow simple to moderately complicated verbal and/or written instructions to perform tasks assigned and to maintain records.  Must possess basic arithmetical calculation skills (addition, subtraction, multiplication, division, percentages, etc.)  This level of proficiency is normally achieved through completion of a high school education or its equivalent.

2.      Must be able to effectively communicate with residents, staff, and other suppliers or vendors to ensure efficient operation of office activities.

3.      Work with multiple deadlines, maintaining efficiency and control over projects assigned within time frames allowed and changing priorities. 

4.      Possess a basic knowledge of sales and marketing techniques, as well as bookkeeping and accounting theory and procedures.  Have familiarity with personal computer accounting software applications.  This knowledge may be acquired through sales/marketing/accounting courses in high school or college, or three to six months on-the-job training.  Must be able to work with various kinds of people, maintaining a professional, positive tone.

5.      Possess a basic knowledge of lease agreements and terminology.  Have a basic understanding of landlord/tenant laws and fair housing regulations.  This could be learned with three to six months’ on-the-job training.


Working Conditions:

Typical working environment is in an office setting on a multi-unit residential property, working with a personal computer at a desk and a telephone.  May also involve greeting and taking prospective residents to vacant apartments in a multi-level apartment community.  May be subject to outdoor weather conditions ranging from rain or snow to excessive heat during the seasonal months.
